What is Versioning & Approval?

Webvizio now lets you manage multiple versions of the same image or Figma-based file within a single asset — so you always know which version is current and which one is approved as final.

This applies to:

  • Images — supported formats: JPG, PNG, PSD
  • Figma-based files

Please note

Versioning and approval are not supported in combined projects that contain both website pages and images. We recommend creating a separate, standalone project for image-based & Figma files if you want to use versioning and approval.

Adding a New Version

  1. Open the file you want to update.
  2. Click New version + (located below the version name).
  3. Upload the updated file.
  4. The new version is added to the file’s version history and automatically becomes the active version shown in the project.

All comments, annotations, and tasks tied to the file remain associated with the asset as a whole — but tasks also show which specific version they were created on.

Switching Between Versions

  1. Open the file.
  2. Click the version dropdown.
  3. Select the version you want to view (e.g., V1, V2, V3).
  4. The workspace updates to display the selected version.

You can switch back and forth between versions at any time — this does not delete or overwrite any version.


Approving a Version

  1. Open the file and locate the version you want to approve.
  2. Click the checkbox next to the version name.
  3. The version is marked as Approved.

Important
  • Only one version per file can be approved at a time.
  • Approving a new version automatically removes the approval status from the previously approved version.
  • Approval status is visible to all project collaborators.

Unapproving a version:

  • You can uncheck the checkbox at any time to remove the approval status.

Approval status is visible to all project collaborators. This action is available to all roles except Viewer and Guest. Learn more about user roles here.

Tasks and Versions

When you create a task on a file, the task automatically records which version of the file it was created on.

  • The task card displays the version label next to the original file name (e.g., V1V2), so team members instantly know which version the feedback or task applies to.
  • This is especially useful when a file has gone through multiple revisions — you won’t lose track of which comments or tasks apply to which version.

FAQ:

Can I approve more than one version of the same file?

No. Only one version can be marked as approved at a time. Approving a new version replaces the previous approval.

Can I remove an approval once it’s set?

Yes. Any role except Viewer and Guest can uncheck the approval checkbox to remove the approved status.

Does adding a new version delete the old one?

No. All previous versions remain accessible via the version dropdown.

Does this work for Figma files?

Yes. Versioning and approval apply to images (JPG, PNG, PSD) and Figma-based files.

Will my existing tasks be affected when I add a new version?

Existing tasks stay linked to the version they were created on. New tasks against the current version will reflect the current version.
